We understand things happen and you or a member of your troop may need to cancel a council program. Many council programs have waiting lists. If you find that you or a member of your troop can no longer attend a program, please notify the council as early as possible. Prompt notification allows time for girls and adults who may be on a waiting list the opportunity to participate in a program. GSWNY provides a partial refund with adequate notice of the cancellation.
- If cancellation notice is received at least 15 days prior to the program date, a full refund will be issued back to the original form of payment. For example, for a program on March 10th, the cancellation notice must be received by February 23rd.
- If cancellations are received less than 15 days in advance of the program date, with the exception of illness or family emergencies, a 50% refund will be issued back to the original form of payment. For example, for a program on March 10th, a cancellation notice received on February 24th or later would be eligible for a 50% refund. Please note that this policy is in place, because most of the planning and purchasing is completed at least 15 days prior.
- Refunds will NOT be given for late arrivals, early departures or no shows.
- If a registrant has a family emergency or is sick, a refund request must be made no later than 10 business days after the program date to receive a full refund.
- The council will provide a full refund if an activity is cancelled due to insufficient registrations, acts of nature, or other reasons beyond its control.
- Many council activities are held rain or shine, please know that registrants choosing not to attend because of the weather will not be eligible for a refund within 15 days of the event start date.

- Refunds can take up to 30 days to process.
- Please note this policy is ONLY for GSWNY Council Sponsored Programs not GSWNY Summer Camp.
